Loretha M.W. Garvin coordinates and manages activities for the initial and continuous maintenance of documents classified as student records. She ensures that academic records are kept in a safe and secure environment as outlined in The Family Educational Rights and Privacy Act (FERPA).

She also develops and prepares records retention schedules for the management and disposition of records to ensure security throughout the transfer and elimination of documents. She evaluates records retention policies to ensure compliance with institutional, local, state, and federal laws and regulations from the creation to the demise of the record. The schedule provides guidelines to make sure that colleges and universities retain necessary records for as long as needed for administrative, audit, legal, litigation, fiscal, research and other requirements. The schedule lists records that are considered to be permanently valuable records that must be protected and provides a timetable that will allow the disposal of records that are non-permanent in value. These and other schedules are set forth as outlined in the General Records Retention Schedule for State Colleges and Universities according to the South Carolina Department of Archive and History.

Garvin also monitors and performs all necessary activities as it relates to the release of academic transcripts for South Carolina State University’s students and alumni. She receives and prepares necessary documents for the Academic Review Board meetings each semester.
